The Director, Payroll will be the principal point of contact for interfacing with Human Resources, company leaders, and external parties relating to all payroll matters. This position will oversee and lead our payroll department to ensure a high standard of payroll operations and service, will lead the department in mergers & acquisitions, system integrations and administration integration of practices and policies, and compliance.
This role requires a high level of attention to detail, excellent communication & organizational skills, sound judgement, and a high level of confidentiality. The candidate will be comfortable in a fast-paced, goal-focused environment, while maintaining great flexibility, and composure.
The Director will take action to enhance cross-functional coordination and expand internal communications to employees and business units. We are looking for proactive, service focused, team-oriented, Payroll Director to join our team.
• Plans, directs, supervises, and executes full-cycle US multi-state payroll processing operating model utilizing UKG / UltiPro (Ultimate Software) to deliver on time, accurate pay delivery in compliance with federal, state and local jurisdiction laws. Includes capability for directly running payroll in emergent situations.
• Determines payroll liabilities by approving the calculation of employee federal and state income and social security taxes, and employer social security, unemployment, and workers compensation payments.
• Drives development of consistent processes across business entities, optimizing use of technology/HRIS systems, to drive efficiencies and standardization where possible while allowing flexibility locally when required.
• Develops and administers appropriate reporting and controls processes to ensure accurate pay and benefit program administration and related regulatory reporting/compliance and that rigorous internal control are in place to minimize risk and maximize appropriate use of company resources.
• Oversees and manages the full cycle of implementation of new employees into our payroll system from mergers & acquisitions and provide payroll support to the business to ensure a smooth transition
• Provides support to external auditors in the performance of their work by gathering data and answering questions involving company policy and procedures and producing schedules/documentation that will assist the auditors in the timely completion of their work.
• Assists HR on reconciling 401k or specific benefit programs/vendor payments, relocation benefits taxation, etc and related testing and reporting (plan discrimination-testing, compilation of 5500s, ACA reporting, other intl govt filings).
• Provides reports for accounting entries for payroll, taxes and benefits.
• Serves as company SME on payroll administration and related compliance matters; stays abreast of regulatory compliance developments and payroll administration best practices to ensure payroll strategy/operating model meets rapidly evolving company needs and regulatory landscape.
• Serve as a key liaison with third parties and other stakeholders (e.g. HR, Treasury, Finance, Tax).
• Selects/coaches/mentors and provides leadership to payroll team members.
• Works as part of joint Finance/HR leadership team on other key projects and initiatives as assigned.
Minimum Skills, Knowledge and Ability Requirements:
• Expert knowledge of UKG/UltiPro (Ultimate Software) Time and Payroll System or very similar platform
• Intermediate to Advanced Microsoft Office skills, particularly excel
• Experience with compliance and internal audit control procedure development and execution
• Prior experience developing scalable solutions for improving operations, delivering high quality services to employees and mitigating organizational risk
• Ability to work effectively across all levels and layers of the company, most frequently with Finance and HR Operations
• Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail, ability to deliver accurate results under strict deadlines
• Demonstrated proactive approaches to analytical thinking and problem solving with strong decision-making capability
• Highest degree of integrity and confidentiality
• Excellent communication skills including clear, professional written and verbal
• Bachelor’s Degree Required -Accounting/Finance, Business or related field
• Certified Payroll Professional (CPP) designation or equivalent
• Strong prior leadership experience required – minimum 10 years-in managing full cycle, high volume, multi-state, multi-company, union, non-union payroll experience
• Knowledge and administrative experience in US benefit programs such as Section 125 benefit plans and 401k retirement plan
• Experienced in system integrations and business merger and acquisitions
• Bilingual in English and Spanish is a plus
• Global payroll administration experience is a plus
