Job Summary
Provide analytical and specialized administrative support to one or more managers.
Principal Duties & Responsibilities
Work closely with the Assistant Vice President, Institutional Products and team by assisting with the optimization of their time, including: Coordination of complex scheduling and extensive calendar management and track and manage deadlines for documentation or other requests ( e.g., anticipating conflicts and being proactive in calling attention to critical meetings that require prep by leader ).
Proactively manages Executives’ calendars, including scheduling meetings with key customers, teams or high-level executives. Manage Executives’ and sales team’s travel schedules, travel arrangements and itineraries in a timely, detailed and organized manner. Strong experience supporting remote teams/execs across multiple locations and collaborating virtually. Effectively managing the process for business expenses and invoices Initiate and follow up on procurement requests. Identifying administrative needs for the organization and initiating projects to support those needs. Demonstrate strong business acumen and organizational savvy to effectively prioritize and manage requests. Handle logistics for team meetings, including anticipating technology needs, preparing materials (agendas, pre-reading), tracking meeting attendees Send meeting invites with details, meeting materials and any other content needed . Work collaboratively across the organization on events such as off sites or training that require larger technology support and preparation. Utilize and promote Microsoft Office 365 Suite, Microsoft Teams, SharePoint, OneDrive and other video/teleconference and collaboration tools. Work collaboratively with other administrative staff, project coordinators or support functions with meeting coordination or project work.
Act as a trusted partner to the Assistant Vice President, Institutional Products and demonstrate sensitivity for confidential matters discussed or shared; maintain and ensure the integrity and confidentiality of all information and data Develop and maintain strong, credible relationships across the business. Provide advanced-level administrative support including managing complex projects as directed by management. Work autonomously using judgment and discretion within established procedures and practices. Manage projects by preparing and maintaining project plans, and budgets. Track progress and identify/resolve obstacles or elevate significant issues to resolve barriers. Work on assignments requiring considerable judgment and initiative.
Assist in the formulation of department budget, tracking actual to planned expenses and reporting variances; coordinate budget results with management. Coordinate activities, information and communication between departments and outside parties. Participate in special projects or other duties as assigned. Evaluate and communicate information in a clear manner, recognizing when high sensitivity and discretion is required.
Job Specifications
Education: Associate’s degree with additional college coursework or Bachelor’s degree preferred.
Experience: minimum of 4 - 6 years demonstrated expertise providing advanced administrative support, including MS Office applications, or the equivalent combination of education and experience. Regular attendance is essential for this role.

Note: The Standard is required to provide a reasonable estimate of the pay rate for this role when hiring a Colorado resident. The salary for employees working in Colorado in this role is listed below. The Standard’s package also includes incentive plan participation and comprehensive benefits including medical, dental, vision, retirement, and paid time off.

Hourly Pay Range
20.34 - 34.52
