Role Description
Role Title:Project and Administrative Officer
Hours: 35 hours per week (12 month maternity cover)
Salary: £23,000 to £27,000
Reports to:Executive Assistant
Location:Fully remote with occasional on-site meetings
Main purpose and scope of the role
The Project and Administrative Officer plays a key role across the organisation, supporting our day-to-day operations, supporting the Finance team and Programmes and Products team in carrying out coordination, admin duties and office HR.
Duties and key responsibilities:
Under the guidance of the Executive Assistant, Finance Director and Head of Parent Participation:
1. Office & HR
Recruitment administration
On boarding joiners
Training administration
Absence and holiday monitoring
Exit interview administration
Maintaining accurate data in the HR and Customer Relationship Management systems
Organising equipment issue for joiners and retrieval from leavers
Health, safety and staff training records
Any other duties as directed by the line manager
2.General Admin/Secretarial
Provide administrative assistance to the Chief Executive and Executive Leadership Team in the absence of the Executive Assistant
Ensure all members of staff have the right resources to enable them to work effectively and safely
Manage relationships with suppliers for all non-digital office facilities
Provide administrative support to the Senior Management Team e.g. making travel arrangements, organising catering, booking meeting rooms
Make arrangements for a range of internal and external meetings and assist in the production of meeting papers etc, as required.
3. Programmes & Products
Coordinate training programmes and products
Manage bookings, venues, communicate with trainers and delegates
Support with training marketing and communications to parents and schools
Coordinate webinars and support with delivery
Support on production and updates to new and existing resources, tools and materials
Review delegate feedback and training data to improve offers and journeys in Salesforce
Recruit and train Associate Trainers, as required
Support with the development of new training and products
Support in opportunities for the promotion of the Blueprint for Parent-Friendly Schools framework
Help sustain strong relationships with a wide range of networks and partners
4. General Responsibilities:
To be flexible within the broad remit of the post
To represent Parentkind in a professional manner to stakeholders and all audiences
To undertake any other duties related to the job purpose which may be necessary to the work of Parentkind
To attend Parentkind meetings and events as required
To attend and participate in Parentkind’s performance, development and training programmes
To abide by organisational policies, codes of conduct and practices
To be responsible for the health, safety, welfare of self, other members of staff and visitors

Essential Experience Required:
HR administration experience
Understanding of the fundamental of delivering training and webinars e.g. via Zoom
Excellent attention to detail with a high degree of accuracy
Reliability and a commitment to the organisation
Good communication skills
Positive attitude
Team player
Experience working in Microsoft Office (Word/Excel/PowerPoint/Outlook)
Qualifications
5 GCSEs, grade C/6 or above (or equivalent), including Maths and English Language
Skills
Excellent computer skills, particularly Microsoft Office
Excellent organisation skills and the ability to prioritise a varied workload
Able to multi-task
Able to act on own initiative and as part of a team
Target driven
Great interpersonal skills
Effective communications to staff at all levels.
Keen in details and data accuracy
